Procedure Summary As Per Guest Category

• Guests Booked Through Travel Agent or Tour Operator

Guest contacts tour operator or travel agent. They make booking with the Lodge and issue a voucher to the guest. Guest presents voucher to Reception on arrival. Same procedure applies with big groups as with a "self-drive"" guest booked through a tour operator or travel agent. Extras account/room account to be settled by guest upon departure.
• Privately Booked Guests

Guest responds to media marketing and contacts the Central Reservations Office. A booking is made and confirmation of the booking will be faxed or mailed to the guest. This confirmation is to be presented to the Reception at the Lodge. All relevant guest information will have already been obtained at the time of booking. Accommodation payment usually paid in advance to the Central Reservations Office. Extras account/room account to be settled by guest upon departure.
• "Walk-In" Guests

Travelling guests arrive at the Lodge or phone from a neigboring town or lodge and a booking is made by Lodge's Reception. Guest details are taken on arrival and a "Guest Registration Form" is completed. Payment for the accommodation must be made in full upon arrival. Extras account/room account to be settled by the guest upon departure.

  

Arrival And Check-In

• For self-drive guests, park your vehicle in one of the parking bays adjacent to entrance. Leave your luggage in the vehicle and report to Reception first.
• Busses of organised tour groups are to be parked opposite the main entrance and not in the parking bays. The Tour Leader or Tour Guide should report to Reception with the Voucher of the Tour Operator he or she represents.
• On arrival at the Lodge, all guests must first report to Reception to check-in. Enter through the main entrance, continue down the alley past the Adventure Centre until you reach the Reception area on your right.

• Hand any Travel Agent Vouchers to the Reception Clerk. In the case of a private booking, please supply the Booking Confirmation Papers.
• If you have any disabilities or health problems that require special attention or needs, please supply this information to the Reception Clerk so that a note can be made on the booking system.

• All medical practitioners are requested to inform the Reception Clerk of their status when checking in.
• In the case of walk-in guests, the accommodation payment needs to be settled for the duration of your stay before you may check in. If you have booked through the Sossusvlei Lodge Central Reservations Office, your payment would most likely have been taken already, but please confirm this with the Reception Clerk.
• You will be handed a "Welcome Drink" of ice cold fruit juice as well as an envelope containing your room key and a "Welcome Letter". The contents of this letter appears below.

• It would be appreciated if the Tour Leader of organised tour groups could translate the information on the Welcome Letter should the group not speak English, German or Italian. Whilst enjoying their "Welcome Drinks", the Tour Leader can help in distributing the room key envelopes to the appropriate parties in the group.
• Thereafter, a porter will assist you in taking your luggage to your room.

During Your Stay

• You are requested to hand in your room key at Reception when you leave the premises to enter the Namib Naukluft Park or participate in any other activity away from the Lodge. Guests will be held liable for lost keys.
• Should you experience any health problems, problems with your room, or have any other general enquiries, please report it to Reception and they will bring it to the attention of the Duty Manager who will attend to the same.
• Please note that there are no telephones in the rooms. Calls may be made at the Reception Area and will be charged to the room account.
• Please ensure that you place all valuables (jewelry, money, etc.) in the electronic safe in the wardrobe in your room when you are not in the room. The management of the Lodge does not accept liability for any items lost from guest rooms. You may also hand in larger valuables at Reception for safe-keeping in the main safes of the Lodge.
• Self-drive guests may enquire at Reception about having their vehicle washed. Charges will be made to your room account.
• The Sossusvlei Lodge Adventure Centre is open from 10:00 to 13:00 and from 15:00 to 19:00 daily. Here you can book various excursions into Sossusvlei or on the Lodge's property.

Check-Out

• Guests are required to report to Reception and hand in their room key.
• You will be presented with a bill should there be an outstanding balance on your room account. You are requested to settle immediately.
• Diners Club, American Express, Mastercard and Visa credit cards are accepted for payment at the Lodge.

WELCOME TO SOSSUSVLEI LODGE ACCOUNTS Accounts are payable in cash or by credit card, on presentation. We regret personal cheques cannot be accepted unless prior arrangements have been made with management. BAGGAGE Please contact Reception for Porter services or for the temporary storage of luggage. The storing of luggage and other personal items is entirely at the owner's risk. LUNCH PACKS Lunch packs must be ordered at Reception before 18h00 the previous evening for collection the following morning. PICNIC BASKETS Picnic baskets with breakfast platters or lunch packs can be ordered for an early morning excursion to Sossusvlei. On request a breakfast can be arranged in the bush for which transportation and set-up is included. This must be ordered at Reception before 18h00 the previous evening. CARWASH In the interest of conservation we do not provide car wash facilities. Should you require your car windows to be cleaned kindly contact Reception. A set rate will be charged to your account. CHECK-OUT TIME All rooms must be vacated by no later than 10h00. For late departure arrangements, please enquire at Reception. When checking out, please remember to leave your key at the Reception desk. CIGARETTES Please do not litter our clean environment by leaving your cigarette butts in our plants, on our floors or anywhere else except in the ashtrays provided. FIRE PROCEDURE In the event of a fire please evacuate the building or guestroom at once and gather at the parking area. Please report any sort of fire suspicion to Reception. ELECRICITY SUPPLY Power points for hairdryers and shavers (220V) are located next to the desk in your room. All other lights work on solar energy. Please switch off all lights not used in order to save power and to prevent you from being without light. The light switches may at times not switch on the lights on first attempt. Please switch off the light and on again in fast succession. Continued failure will be seen to by Maintenance at once. Please contact Reception. POOL The swimming pool is available for hotel guests only and is used at own risk. Children should at all times be under supervision of an adult. Pool towels can be obtained from Reception. PRIVACY If you do not wish to be disturbed, please hang the "Do Not Disturb" sandbag on your doorknob. RESTAURANT Hours of operation : Breakfast : 05h30 - 09h00 Depending on the gate hours at Sesriem Lunch : 12h00 - 14h30 Dinner : 19h00 - 22h00 SAFETY DEPOSIT BOXES Please lock all your cash and other valuables in the safety deposit box in the wardrobe or at the General Managers office. The Management is not liable for the loss of cash and personal valuables. WAKE-UP CALLS Please advise Reception. WALKING It is perfectly safe to walk freely on the Lodge premises, provided that contact with wild animals, snakes, scorpions and other reptiles is avoided. This activity is done at own risk. WATERHOLE Antelope, scavengers and other mammals frequently visit the waterhole. Please do not disturb the animals and, for your own safety, do not go closer than one hundred meters from the waterhole. WILD & DANGEROUS ANIMALS Sossusvlei Lodge is situated on a 45 000 hectare private game reserve. Wild & dangerous animals roam freely and may be encountered at any times. Contact with such animals should be avoided at all times. Entrance to the sleeping quarters should be kept closed at all times. Sossusvlei Lodge, its owners and employees can not be held responsible for incidents of any kind and its consequences.
